**Vortex staff responsibilities for birthday parties:​ Food Coordination: They manage the timely arrival and setup of any additional party food, ensuring everything is ready as scheduled.​ Guest Announcements: Staff can makes announcements to guide guests back to the party room for cake cutting and other scheduled moments.​ Activity Scheduling: If your party includes add-ons like mini golf, VR, or bumper activities, our staff coordinates their scheduling, typically arranging them at the beginning or end of the party to fit seamlessly into the event timeline.

All parties must be paid in full prior to the event, with no refunds for confirmed guest numbers, as food, drinks, seating, cutlery, and staffing are arranged accordingly. Please only confirm the number of guests who have RSVP’d—do not include anyone who hasn’t responded, as we do not issue refunds. If an unexpected guest arrives, we can arrange payment for them on the day.
