We are a family business, and we look after your information the way we would want ours looked after. This policy explains what we collect, why we collect it, who we share it with and how you can see it, fix it or ask us to stop using it. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).

1. What we collect

We only collect what we need to run your visit, your booking or your party, keep everyone safe, and, if you agree, let you know about offers.

  • Contact details: your name, mobile number, email address and postcode.

  • Booking details: the tickets, parties, memberships and extras you buy, the sessions you book and how you paid. We do not store your full card number. Payments are processed by our booking and payment providers.

  • Waiver details: the name and date of birth of each child you sign a waiver for, and your details as the parent, guardian or carer. We use dates of birth to check age rules for our attractions and, if you agree to marketing, to send a birthday offer.

  • Safety information you choose to give us: for example a medical need our staff should know about. We only use this to keep your child safe.

  • Feedback: reviews, survey answers and messages you send us.

  • Website and app information: pages visited, the device and browser used, and whether a visit led to a booking. See section 5.

  • Photos and video: taken in the venue for our social media and advertising. See section 6.

  • CCTV footage: our venue is monitored by security cameras. See section 7.

2. How we collect it

  • When you book online or at the counter, through our booking system.

  • When you sign a waiver, online or in the venue.

  • When you join our email or SMS list, enter a competition, or fill in a form on our website.

  • When you message, call or email us, or leave a review.

  • Automatically, through cookies and similar tools on our website and booking pages.

If you book for other people (for example party guests), please let them know you have given us their details.

3. Why we use it

  • To take and manage your booking, party or membership, and to send confirmations and reminders.

  • To run our safety rules, including age, height and weight limits and supervision rules.

  • To respond to your questions, feedback and complaints.

  • To send you offers and news, only if you have agreed (see section 4).

  • To understand which of our advertising and offers work, so we spend less on things that don't.

  • To keep the venue safe and secure, and to meet our legal obligations.

We do not sell your personal information.

4. Marketing, SMS and email

We only send marketing emails and texts to people who have agreed to receive them, for example by ticking the marketing box when booking or signing a waiver. Every marketing email and text has a simple way to unsubscribe. You can also tell us at the counter, by phone or by email, and we will stop. Unsubscribing from marketing does not stop booking confirmations and reminders, which we need to send you.

We may use your booking history (for example, when you last visited or what you booked) to choose which offers to send you, so you get fewer, more relevant messages.

5. Cookies, analytics and advertising

Our website and online booking pages use cookies and similar tools, including Google Analytics and the Meta (Facebook and Instagram) pixel. These tell us how people find us, which pages they use and whether an ad led to a booking. Meta and Google may use this information to show you Vortex ads on their platforms and to measure how well those ads work.

You can block or delete cookies in your browser settings, and you can control the ads you see in your Facebook, Instagram and Google ad settings. Some parts of our site may not work properly without cookies.

6. Photos and video

We sometimes take photos and video in the venue to share on our website, social media and ads. Our waiver asks for permission to use photos of your child for marketing. If you would rather your child not appear, tell a staff member on the day or contact us, and we will not use those images and will remove any we have posted where we can.

7. CCTV

We use security cameras throughout the venue to keep guests and staff safe, to investigate incidents and to protect our property. Cameras are not used in toilets or change areas. Footage is kept for 6 months, unless it is needed for an incident, an insurance claim or the police. We only share footage with police, insurers or others where the law requires or allows it.

We do not currently use facial recognition technology. Our waiver allows for it in the future. If we introduce it, we will update this policy and put up clear signs at the entrance before it starts.

8. Children

Most of our guests are children, so we take extra care. We collect children's information from a parent, guardian or carer, not from the child. We use it for bookings, safety and, with the parent's agreement, birthday offers sent to the parent. We never send marketing directly to children.

9. Who we share it with

We share personal information only with the businesses that help us run Vortex, and only for that purpose:

  • Our online booking, waiver and payment system (ROLLER) and its payment processors.

  • Our website and email provider (Wix).

  • Our SMS provider (Cellcast).

  • Advertising and analytics providers (Meta and Google), as described in section 5.

  • Our accounting provider, IT support and trusted software tools, including AI assistants that help us organise booking information and prepare our marketing. These work under our instructions and are not allowed to use your information for their own purposes.

  • Our insurers, lawyers and professional advisers where needed.

  • Police or government agencies where the law requires it.

10. Information stored overseas

Some of the providers above store or process information outside Australia, including in the United States and other countries where their data centres are located. We choose providers who protect personal information to a standard similar to Australian law.

11. How we keep it safe

Your information is kept in secure, password-protected systems. Only staff who need it for their job can see it. We keep information for as long as we need it for the purposes above or as the law requires, then delete it or remove anything that identifies you.

12. Seeing or correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it. Contact us using the details below. We will reply within 30 days. We may need to confirm who you are first.

13. Questions and complaints

If you have a question or complaint about how we have handled your information, please contact us first and we will do our best to fix it. If you are not happy with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
